Staff & Roles
Add providers, set up your team, and control who can do what in Genkō for Dental.
Adding providers
Providers (dentists and hygienists) must be created before appointments can be booked. Each appointment is assigned to a specific provider.
- 1.From the sidebar, click Schedule.
- 2.Scroll to the Providers card and click Add provider.
- 3.Enter the provider's First name, Last name, and Role (Dentist, Hygienist, Assistant, or Admin). Email is optional.
- 4.Click Save provider. The provider appears immediately in the appointment booking dropdown.
Tip: You need at least one provider before you can schedule any appointments.
Roles and permissions
Every team member in Genkō has a role that controls what they can see and do. Roles are set when a member is invited and can be updated by owners or admins at any time.
| Role | Access summary |
|---|---|
| Owner | Full control — billing, settings, members, all data across all locations |
| Admin | Broad operational access — settings, billing, all appointments and patients |
| Provider | Manages appointments at their assigned location; reads patient records |
| Staff | Supports scheduling and patient management; no settings or billing access |
Location scoping: Providers only see appointments from their assigned location. Owners and admins can view all locations.
Inviting team members
Team members are separate from providers. A dentist can have both a provider record (for scheduling) and a user account (for login access).
- 1.Go to Settings → Members.
- 2.Click Invite member.
- 3.Enter the member's email address and select their role.
- 4.Click Send invitation. The invitee receives an email with a sign-in link.
Note: Invitations do not expire but the invited user must sign in to accept. Pending invitations are visible in the Members list.
Multi-location staff
If your practice has more than one location, each provider is assigned to a specific site. This scopes their appointment view to that location only. Owners and admins always have full cross-location visibility.
Plan note: Multiple locations require the Practice plan or above. The Free and Solo plans support one location.
