Build a patient list, then use recall campaigns to bring lapsed patients back.

Patient profiles

Every patient in Genkō has a profile that holds contact information and tracks their appointment history. Profiles are scoped to your organization — all locations share the same patient list.

Creating a patient

  1. 1.Go to Schedule → click Add patient.
  2. 2.Enter First name, Last name, and Phone. Email is optional but recommended for recall campaigns.
  3. 3.Click Save patient. The patient is immediately available in the appointment booking dropdown.
Privacy note: Patient names are never logged in analytics event payloads. Only the internal patient ID is stored in audit records.

Recall campaigns

Recall campaigns are bulk outreach efforts targeting patients who are due for a follow-up or haven't visited recently. Genkō tracks opens and re-bookings per campaign so you can measure what works.

What is recall conversion rate?

Recall conversion rate = patients who rebooked ÷ total recalls sent. This metric appears on the Analytics dashboard and in campaign history. A healthy rate is typically 15–30% for email-only outreach.

Creating a recall campaign

  1. 1.From the sidebar, go to Recalls.
  2. 2.Click New campaign.
  3. 3.Give the campaign a name (e.g., "May 2026 Cleaning Recall").
  4. 4.Set the target scope — either a specific location or the whole organization.
  5. 5.Click Draft with AI to generate an outreach message. Review and edit before sending. The draft is powered by GPT‑4o mini and customized to your practice name.
  6. 6.Click Send campaign. Dispatch is processed by the cron scheduler and status updates as messages are sent.

Tracking campaign results

Each campaign row in the Recalls list shows:
